Setting up follow-up sequences
How to create automatic follow-up emails in CarcMail that send when a prospect hasn't replied after a set number of days.
Most cold email responses happen on the second or third email. Setting up at least one follow-up step can significantly increase replies without significantly more effort.
Overview
A follow-up sequence is a series of automatic emails that send to a prospect after the initial campaign email, if they haven’t replied. You set the delay between each step (e.g. 3 days, 7 days) and write the content for each follow-up. CarcMail handles the rest automatically.
Sequences stop sending to a prospect the moment they reply — regardless of the classification. If someone says “not interested,” no further follow-ups go out. If they say “interested,” same thing. This prevents you from awkwardly following up on an already-active conversation.
Each follow-up email sent costs 1 credit, the same as an initial campaign email. Sequence creation requires a Growth or Scale plan.
How sequences work
- You create a sequence with 1–5 steps, each with a delay and email content
- You attach the sequence to a campaign
- When a lead receives the initial campaign email, they are enrolled in the sequence
- After the delay you set for step 1, CarcMail checks: has this lead replied? If not, it sends step 1
- The same check happens for each subsequent step
- If the lead replies at any point, they are unenrolled from all remaining steps
Before you start
- You are on a Growth or Scale plan (Starter does not include sequences)
- You have at least one campaign created to attach the sequence to
- You have credit balance to cover follow-up sends (1 credit per follow-up email)
- You have drafted follow-up content that is different from your initial email
Writing good follow-up emails
Each step in a sequence should feel like a natural continuation of the conversation, not a repeat of the same ask. Keep them short — 2–4 sentences is usually enough. A good structure:
- Step 1 (day 3–5): A brief, friendly check-in. Reference the first email lightly. Ask a simple question.
- Step 2 (day 8–12): Offer a different angle or a piece of value — a relevant insight, a quick question about a pain point.
- Step 3 (day 15–20): A low-stakes “breakup” email. Acknowledge they may not be interested and let them know this is your last message.
Step-by-step
Go to Sequences
In the CarcMail sidebar, click Sequences. Click New sequence.
Name your sequence
Give the sequence a name (e.g. “3-step agency follow-up”). This is for your reference only.
Add sequence steps
Click Add step to create your first follow-up. For each step, set:
- Delay: How many days after the previous email before this one sends (minimum 1 day)
- Subject: The subject line. Tip: using “Re:” followed by the original subject makes follow-ups look like a natural thread continuation.
- Body: The email content. Keep it short and different from the initial email.
Add additional steps by clicking Add step again. Most sequences work well with 2–3 steps.
Save and attach to a campaign
Click Save sequence. Then go to Campaigns, select the campaign you want to use this sequence with, and click Settings. In the Follow-up sequence section, select your new sequence from the dropdown and save.
Enrol existing leads (optional)
If the campaign has already started and you want to enrol leads who received the initial email but haven’t replied yet, go to the campaign detail page and click Enrol in sequence. Select which leads to enrol.
How to confirm it worked
- The campaign settings page shows the sequence attached under “Follow-up sequence”
- In the campaign lead list, enrolled leads show a “Sequence active” badge
- The Sequences page shows the sequence status and how many leads are currently in each step
Removing a sequence from a campaign mid-run does not immediately stop follow-ups for already-enrolled leads. To stop all follow-ups for a lead, go to that lead’s detail page and click “Stop sequence.”
Common issues
| Issue | What to check |

| Sequence option not available | Sequences require a Growth or Scale plan. Check your current plan in Settings → Plans. |
| Follow-ups sending even after a reply | Check the reply was classified in CarcMail’s Replies view. If it arrived but wasn’t synced, manually trigger a reply check. |
| Leads aren’t being enrolled | Confirm the sequence is attached to the campaign and that the campaign is active. |
| Follow-up send uses wrong inbox | Sequences send from the same inbox the original campaign used. If that inbox has disconnected, reconnect it. |
