What CarcMail's AI does when generating a cold email — what inputs it uses, what it produces, and how to get the best output.
The quality of AI-generated emails depends heavily on how detailed your Identity profile and campaign goal are. Spend 5 minutes completing your Identity settings before generating emails — it makes a noticeable difference.
Overview
CarcMail’s AI email drafting generates a personalised cold email for each lead in your campaign. It is not a generic template — the AI reads your company profile, your campaign goal, and the lead’s data, then writes an email tailored to that specific combination.
The AI handles the full structure: subject line, opening line that references the lead or their company, a value proposition paragraph tied to your offer, a clear call to action, and a sign-off. You review the generated draft, make any edits you want, and approve it as the campaign template before sending begins.
This is different from a merge-field template. A merge-field template inserts lead data into fixed slots. AI drafting generates the whole email fresh, so the phrasing, structure, and tone adapt naturally to each lead’s profile.
What the AI uses as inputs
When generating an email, the AI reads:
- Your Identity profile — your name, role, company name, website, description of your product or service, and tone preferences (set in Settings → Identity)
- Your campaign goal — the plain-language description you type when creating the campaign
- The lead’s data — first name, last name, company name, job title, and any other fields you imported
- Your Knowledge Base (optional) — any extra context you have added about your offer, case studies, or FAQs (set in Settings → Knowledge Base)
The more complete these inputs are, the more relevant and personalised the output will be.
What the AI produces
For each generation, the AI outputs:
- Subject line — short, specific, non-spammy. Usually references the lead’s role or company.
- Opening line — personalised to the lead. Avoids generic openers like “I hope this finds you well.”
- Value proposition — 2–3 sentences connecting your offer to a likely pain point for this type of prospect.
- Call to action — one clear ask, matching the goal you set for the campaign.
- Sign-off — your name and optionally company, pulled from your Identity profile.
How to get the best results
- Complete all fields in Settings → Identity before generating emails
- Write a specific campaign goal — include the exact outcome you want (e.g. 'book a 15-minute call', not just 'get a response')
- Import leads with first name and company name — these are the most impactful personalisation fields
- Add relevant context to your Knowledge Base if your offer needs more explanation
- Review the first draft carefully and edit freely — the AI is a starting point, not a final product
Step-by-step
Complete your Identity profile
Go to Settings → Identity. Fill in your company name, what you offer, who you target, and your tone preference (e.g. professional, conversational, direct). This is the foundation the AI writes from.
Write a clear campaign goal
When creating your campaign, type a goal in the campaign goal field. Be specific. Example: “Introduce CarcMail to agency owners who are currently managing outbound manually. Goal is to book a 20-minute demo call.”
Click Generate email
In the campaign email setup screen, click Generate email. The AI will produce a complete draft in a few seconds.
Review and edit
Read through the generated email. You can edit any part of it — subject, body, CTA, sign-off. The AI draft is a starting point. Your edits are always welcome and encouraged.
Use as campaign template
Once you are happy with the draft, it becomes the campaign template. For leads with rich data (name, company, title), the AI’s final sending version will personalise based on each lead’s specific details.
Common issues

| Email sounds generic | Your Identity profile or campaign goal may be too vague. Add more specific details about your offer and target audience. |
| Wrong company or name in email | Check that your Identity profile is up to date in Settings → Identity. |
| AI generation fails | This is usually a temporary issue. Refresh and try again. If it persists, check your credit balance. |
| Draft is too long | Edit it down after generation. Good cold emails are typically 100–150 words. |
